Lightning for Gmail and Lightning Sync for Google

By

We’ve all been there. At the end of the day, you look back to what was accomplished and think “If only I had a few more hours, I’d be able to finish more work and be more productive.” It begs the question: Do we really need more hours or just better tools to help us get more done in less time?

As Salesforce Admins, our goal is to make our users as productive as possible. One awesome new way to improve productivity is using the new Google G Suite email and calendar applications. Users who use Gmail and Google Calendar can now focus on getting their tasks done without switching between applications, and save a ton of time since their contacts and calendars can now sync automatically.

Lightning for Gmail and Lightning Sync for Google is now Generally Available, so let’s dig in and explore how to set these up for your users.

Lightning for Gmail

Lightning for Gmail is a free, native (read: out-of-the-box) application that allows any Salesforce users (on Classic or on Lightning) to synchronize their Google G Suite Gmail inbox with Salesforce CRM. Users can add emails and meetings right into Salesforce, associating them to the right contacts, accounts, and opportunities. And while in Gmail, users can view Salesforce CRM info related to their emails, like contacts, deals, and more.

How to set it up:

  1. Verify that Enhanced Email is enabled for your organization.
  2. Enable Lightning for Gmail in the Setup menu.
  3. To let reps relate emails to relevant Salesforce records, enable Enhanced Email with Lightning for Gmail.
  4. To give sales reps access to global actions in Lightning for Gmail, create new or assign existing publisher layouts from the Lightning for Gmail Publisher Layouts section. Save your changes.
  5. Have your users download the Lightning for Gmail extension from http://bit.ly/LfGChrome
  6. Each user signs in to the extension using their Salesforce username and password.

Lightning Sync for Google

Syncing contacts and events between your Google applications and Salesforce increases productivity. That’s because Lightning Sync eliminates the need to duplicate work between the two applications. Lightning Sync also syncs items whether you’re working from your desk or from your mobile device using Salesforce1. As admins, you’ll define a user’s Lightning Sync experience by selecting sync settings from Salesforce–you can sync both ways between Google Contacts and Salesforce and set up events to sync from Google Calendar™ to Salesforce.
